Job Description
Live Assets | IT Staffing Solutions is hiring a Records Control Manager, for one of its clients to join a complex P3 design and construction project team for a huge construction entity in Toronto with an opportunity for advancement. The Records Control Manager reports directly to the Director, People & Culture and will lead the Records Control Team
Responsibilities
Working with the Director, People & Culture, and a committee of Project Directors and Documentation Managers, develop a plan which will:
- Develop an understanding of documentation obligations as it relates to the Project Agreement, relevant legislation, and any litigation holds in place.
- Hire an appropriate number of properly skilled team members
- Locate, tag, categorize, and store offsite (using one offsite storage provider) all paper documentation from across the Project (all sites, stations, and buildings)
- Create the IT infrastructure to receive and store electronic information/documents in a way that information can be easily retrieved now and by authorized parties after the Project is completed.
- Create an indexing/categorizing approach that will allow all paper documents to be easily retrieved from offsite storage now and by authorized parties after the Project is complete
- Develop and implement work processes and procedures such as Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards, and Document Numbering. This will include the identification and location of key documents needed by various Project departments needed to complete their work.
- Implement detailed work instructions to support the approved project “Control of Records” procedure and supervise the day-to-day activities of the Records Control Team.
- Work closely with various projects groups to achieve maximum efficiency in
document retention requirements.
Requirements
- A minimum of 7 to 10 years’ experience in the Document Control field with at least 4 years’
experience in a lead document control role. - Candidate must possess at least a Bachelor’s Degree or Professional Degree, Engineering (others) or equivalent.
- Effective oral and written communication and presentation skills
- Ability to build and foster effective relationships
- Demonstrated experience with leading and mentoring a team
Strong MS Word, Outlook, Excel. - EDMS skills, including Sharepoint, PM+, and Aconex will be an asset.
- Travel in the GTA will be required
